ICN Room Policy

Primary use of the ICN meeting room is for educational classes, meetings, and other gatherings that will allow the room to remain in its usual arrangement. When the room is not in use for library purposes, it is available to any authorized users. Use of the room will be scheduled on a first come, first served basis through the ICN scheduling process. Even non-transmit reservations must be scheduled through the ICN scheduler. The room will be available during regular library hours.

ICN room requests should be submitted at least 72 hours in advance through the ICN scheduling system. In all cases, “the earlier the better” rule applies. Cancellations must be done at least 48 working hours prior to the event through the ICN scheduling system or user will be billed. There is no Sunday scheduling as IPTV offers no technical service.

When using the room as the originating site, the authorized user is financially responsible for all ICN telecommunication charges incurred for the use of the room and will also be required to sign a written contract.

Permission to use the ICN classroom does not imply endorsement of, or agreement with, the purpose of or the expression of such individuals or organizations by the Urbandale Public Library or its staff.

The library is not responsible for any interruptions of meetings or classes or their cancellation or failure, and the user waives any and all liability of the Board, its staff or agents and the City of Urbandale, Iowa for such interruption or cancellation.

Use of the ICN equipment as an originating site requires some training. Training shall be scheduled with the library staff at least 24 hours prior to the beginning of the session.

The room must be left in the same condition that it was before being used. Users are responsible for and shall pay for any damage to either the room or the equipment. Those using the ICN are obligated to provide special accommodations for handicapped individuals upon request. The library is a smoke-free building.
